Do it in MSWord 
the command is /name
Like you could have a macro that does
/name Revs' Harvester Mining
Vendor located at [waypoint] Dantooine!
then name that macro HarvesterName
Now type /alias hn /macro HarvesterName
Now all you have to do is click on your harvester and type /hn and it'll name it!

I've heard people say thatits just a caseofcoping it out of notepad,
but is there any other way of getting text aligned, new lines, colours etc. on your structure sign?
and could someone give an example...

ok cool, but thing is when i do the whole copy and paste thing, it gives me the top line, then half the second line like this
|Bane Industries|
|Naboo Div
but what i want it to look like is this
|Bane Industries|
|Naboo Division|
|Mineral One|
any tips?

There's a cap on characters you can use

Use microsoft word or the game's ingame-email
